You will have the opportunity to provide 1st, 2nd, and 3rd choices in the sponsor / exhibitor registration form. We will do our best to accommodate.

As illustrated in the floorplan below the exhibits space is split between a main “Exhibits Hall” and the “Platinum and Gold Sponsorship Atrium Lobby.” Platinum and Gold Sponsors will have first selection of Lobby Booths. Symposia space will be offered within the Exhibits Hall as well as in the Main Event Space for Gold, Platinum and Diamond Sponsors depending on desired set up.

Shipments originating from countries OTHER THAN CANADA must be cleared through customs. Please ensure that all customs paperwork is completed appropriately and that your brokerage is in order. If you require a customs broker, please contact the office at office@csohns.org

Garbage disposal & cleaning It is the responsibility of each exhibitor/vendor to remove all cardboard, packaging, and garbage associated with their display. Charges will be incurred should hotel staff be required for the removal of such items. 

No signs or other articles are to be fastened to the wall brackets or other electrical fixtures. The use of thumbtacks, double-sided tape (rubber backed tape), scotch tape, nails, screws, bolts, hand spikes or any tool or material which could damage the floor or walls is prohibited by the hotel. Only a material that can be easily removed without damage to walls or surfaces can be used for affixing signs, banners, etc., the hotel recommends adhesive putty. Charges will be incurred should hotel staff be required to hang banners. 

Cancellations must be submitted to the Organizer in writing, regardless of the timing of the cancellation. Cancellation must be directed in writing to exhibits@csohns.org.
 
The date of receipt of the Sponsor’s written notice of cancellation will be the official cancellation date. If exhibit space or sponsorship is cancelled on or before March 1, 2026, the Sponsor will be responsible for 50% of the total fee. No refund will be provided for cancellation requests made after March 1, 2026. All funds paid are non-transferable.
